POSITION: Volunteer Services Assistant

JOB SUMMARY: The Volunteer Services Assistant provides administrative support for established programs and initiatives within RBC Bluesfest’s Volunteer Services. Occasional evenings and weekends are required.

REPORTING RELATIONSHIP: Reports directly to and works under the supervision of the manager of volunteer services.


• Become knowledgeable about festival norms, procedures and policies;
• Provide admin and meeting support for area leader and public meetings (set-up, minutes, hand-outs, etc.);
• Provide knowledgeable and empathetic services to volunteers via phone, email, walk in;
• Provide administrative support for Smart Serve training sessions (;
• Provide admin support /data entry/ editing duties for on-line volunteer management/registration system;
• Create, review and update shift schedules and test registration;
• Support the delivery of volunteer orientation, resource and training programs;
• Research and develop new ideas for newsletter development;
• Provide admin support to fundraising initiatives such as silent auction;
• Support volunteer appreciation and recognition initiatives such as post-fest volunteer appreciation party and recognition event;
• Provide support for festival ticket sales;
• All other duties as assigned.


• Assist with setting up onsite administrative office and volunteer operations areas;
• Assist with volunteer registration process as required and liaise with volunteer check-in;
• Supervise various on-site appreciation initiatives (best seats, random draws etc.);
• Follow through on newsletter production and distribution;
• Provide admin support for all volunteer area leaders including assisting with database reconciliation as required;
• All other duties as assigned.


• Strong detail, organizational and administrative skills;
• Strong trouble-shooting and conflict resolution skills;
• Excellent oral and written communication skills, public speaking experience an asset;
• Ability to prioritize and multi-task, and meet deadlines in a busy environment;
• Excellent interpersonal/people skills;
• Experience in communications, social media, and basic graphics an asset
• Proficient with Microsoft Office – specifically Microsoft Word and Excel.


• 2 years of administrative experience;
• Event management experience an asset;
• Access to a reliable vehicle is an asset;
• Some heavy lifting will be required;
• Bilingualism an asset
