POSITION: BA9 – Site Operations Assistant


START DATE: February 11, 2019        END DATE:  August 9, 2019

JOB SUMMARY: Responsible for assisting the Director of Operations with festival operational issues, logistical needs, and office administration.

REPORTING:  Reports to and works directly under the supervision of the Director of Operations and the Site Operations Manager



  • Responsible for ordering on-site supplies such as motorized vehicles, beverages, etc
  • Prepare the Emergency Preparedness Plan for the current festival year
  • Work with signage and graphics team to prepare festival site for all necessary signage
  • Assist with setting up the on-site administrative office
  • Assist with setting up logistical and operational aspects of the festival site, prior to and during the festival
  • Assist in overseeing a team of volunteers (gates, signage) throughout the festival period
  • All other duties as required


  • Responsible for assisting with vendor paperwork, contract review, collecting/applying payments in vendor database.
  • Assist with coordinating vendor logistics/setup and other logistics needs onsite as assigned.
  • Post-festival: ensure payments are in and tracking is completed for 2019 season. Responsible for sourcing and acting as liaison for all food concessionaires, craft artisans and vendors.
  • Work closely with suppliers and sponsors to ensure that contractual obligations are being met.
  • Work on annual community initiatives that will culminate at the festival.

Office Administration:

  • Become knowledgeable about festival norms, procedures, and policies.
  • Answer phone calls & emails relating to general inquiries about the festival and redirect/escalate to other staff when applicable.
  • Consistently provide knowledgeable, empathetic service to patrons via walk-in, phone, email, or other forms of contact.
  • All other duties as required


  • Strong organizational skills and ability to prioritize
  • Proven success multi-tasking in a high pressure environment
  • Proven ability to think creatively and strategically
  • Working knowledge of POS systems
  • Ability to work independently as well as within a team
  • Excellent written and oral communication skills
  • Bilingualism is an asset
  • Advanced knowledge of MS Office & Google Apps


  • Local and national festival music promoters, Festival sponsors and local business leaders, Festival staff and volunteers
